How Do I ... Send Sympathy Letters?

How Do I Check/Record Animal's That Have Died.

There are three methods:

  1. Use 'Search for A Code' to look for all occurrences of EUTH, DIED etc. on the clinical records. This is however a VERY slow way of pulling out the information.

  2. Use 'Status Logging'. This option will log every time a specific status code is changed via automatic pricing. As every time an animal is put to sleep/died you will be changing the status code to 'DD' this is a much better solution.

  3. Use 'Data Major'. This is a quick way of listing dead animals - run the 'isdead' report on the tify up index.

How Do I Set Up and Use Status Logging.?

The 1st step is to tell the system to log all 'DD' codes:

Auto pricing -> Utilities -> Logging -> Status Codes -> DD

Whenever an AP item changes the status to DD an entry will be made in the the file 'statusDD' in the text sub-directory. This file will contain one line per animal, with the animal/owner name, address, reason, user and date the code was changed in a format suitable for export to a Word Processor.

The easiest way to access the file is via one of the desktop tools e.g. Microsoft Excel. In this case you would:

The reason for the Rename step is the CSV file will keep getting appended to, if you are sending out a sympathy letter then this avoids you sending multiple letters. In addition, it allows you to monitor and analysis the number of animals easier.

If you don't have drive mapping configured then you can do the following:

This will either call the editor of your choice or display the details on the screen. Remember, this option uses the generic name 'data.csv' if you want to keep the results make sure you copy it !!!.

While the above procedure related to dead/euth'ed animals it can be used for ANY status code change. Each status code will be logged in a separate file (format status + Code).
