Visit / In-Patient Daybook
There is a 'daybook' option that allows you to log calls for work to be done. This is a fairly 'generic' type option, it allows you to have central location that could be used for various purposes e.g.:
- In-Patient treatment
- Farm Visits
- Nurse followup's
- Telephone messages
- To-Do list
In addition to the 'Global' option you have a 'Personal' option, this is specific to individual users and is aimed at a 'To-Do' type list.
Work is NOT automatically removed from either list, the work stays on until manually removed. That is work will be carried over to the next day.
Global calls are 'logged' against a specific user, you access the client record, press <Control> F. You will be asked:
- How the call came in e.g. Telephone, Fax, E-Mail*
- The name of the person you have to contact.
- The member of staff the call is for*
- A 'Status' relating to the call*
- Up to five lines of additional text
The details are added to the 'log' and a clinical line will be added to record the event and allow for later analysis.
In addition to the manual updating of the daybook it can be updated automatically by the arrival of E-Mail or other applications. Contact support if you want more details on these options.

Enabling and Keys
This option is disabled by default, to enable it add an entry to params.txt called
Use_Daybook = Yes
Tip: The same menu also allows you access to Daybook setup file, don't use that straight away - once enabled add a dummy call as this will create a 'template' file making it easier to edit.
Once enabled the following keys are activated:
| Control F (^F) | Make an entry in the 'Global' Daybook |
| Control O (^O) | Make an entry in your personal daybook |
| Control B (^B) | Create a mail calendar entry |
| Shift F10 | Edit 'Personal' Daybook |
| Shift F11 | Edit 'Global' Daybook |
| Shift F12 | Display a summary of the 'Global' Daybook |
You should also setup one of your Function keys as a 'viewer', this allows you to quickly see the details of the work in the global daybook. You should use
| Command | less miscdir/daybook.log |
|---|---|
| Clear | Yes |
Setup
There is a control file to allow you to customise the options called
daybook.txt - you will find this on the same menu as
the params.txt
option. Within this text file you will find lines starting:
| User | Set these to the 'users' you will prompted
for when logging a visit. The users DO NOT need to be valid premvet
user, this allows for 'Anyone', 'Locum' to be added. There is a limit
of 9 different 'User' lines, the system will automatically add 'Other' to
the list. You can optionally add a colour event to the user. Follow the user name with a colon (:) and the event to use. This will be used by the summary screen to highlite the different users in different colours. |
|---|---|
| Source | How the call came in Phone, Fax etc. If no Source lines are present you will not be asked the question. |
| Analysis | Analysis code used on the clinical records when a call is entered.
If set to zero no note will be added. |
| Clinical | The text used on the clinical line. |
| Status | A BRIEF comment that appears on the 1st line. This could be AM/PM, Urgent/Today/Passing, Followup/Watch etc. anything really. You can also edit this during the day so could be used to keep a note of where this call is on the vet's rounds etc. |
| Scan | If you are using the Daybook to store other information you may
not want details to appear on the summary - If this option is set
then the summary scan will START at this point - you should set this
to an 'Obscure' few characters that will not normally appear at the
start of the line e.g. in-house we use !!LOG.
|
For Example:
User Anyone : 96 User James User Bryen User Lee : 201 User Jennifer User Kirsten User Rachel User Jamie Status Fertility Status Calving Status Blood Test Status Lambing Status General Source Phone Source E-Mail Source Letter Source Fax Scan !!LOG Analysis 55
Summary Screen
Pressing Shift F12 will display a 'summary' screen. This will list in the order entered the 1st line for each entry. If the user has been allocated a colour event in the setup file they will be displayed in that colour. The screen will show the FIRST 18 entries.
The prompt line gives you the options:
| Time | The default option - list all entries in the order they were added |
|---|---|
| User | You will be asked for the user required and only work for that user will be displayed |
| Search | Search the main entry for any text and list those that match |
| Print to the default printer either ALL the entries or just the summary lines and client. | |
| Quit | Return you to the main menu |
Calendar Option
Using Control B you can add an entry to your 'Calendar' file. This is scanned each morning automatically by the system and any entries for today and tomorrow will automatically mailed to you.
You are prompted for the date and then details.
Entries are NOT automtically removed from you calendar file you should periodically check it (file is calendar in your home directory).
