Who has and not had a service

You may want to generate lists of animals for mail-shots, marketing or statistical purposes of those who have had a 'core' service and those who have not. e.g. Who has had a Vaccination/Booster in last 12 months but not had a wormer or flea product. This FAQ is going to look at the steps involved.

There are options in stored reports to drill down to individual components e.g. Panacur or ACP etc. over a long period - we are just going to look at the top level group e.g. Vaccination - not a specific vaccination just vaccination along with say Wormers - not a specific wormer but just has or have not been wormed.

Your analysis codes are 'grouped' for billing purposes, we will use these groupings to report on animals that may or may not have had some treatment.

The first step is to ensure you have your core services listed, if you use Itemised Billing then you will have - if not (or you want to change them), use:

  • Menu -> System Management -> Setup -> Parameters -> Billing Settings -> Itemised Billing settings
  • Make sure you have the categories you want setup. If you don't want to split an existing category there are option to work around it - please see the DataMajor manual or ask support.

    Remember:
    DataMajor uses a snapshot of your data, if you change groups or analysis codes you will no be able to report on them until the next time the database is re-built.

    To generate the report:

  • Menu -> Reports -> DataMajor -> Ad-Hoc -> Animals by Ana Group
  • The report will include the animal name, number, date of Birth, Species, if it has been chipped, has insurance, surgery registered at, has been neutered. Along with Client Name, Address, Telephone, Mobile and E-Mail.

    This option will ONLY look at the last 12 months data.

    It can report on those who have had Wormers, Flea and bought diets from you. It is used to look at trends based on the billing categories.

    When selected the screen will display:

    The top part of the screen allows you to enter the groups to look for and the lower part shows your existing groups.

    The system works by looking at the clinical records and checks if the group has occurred or not e.g. Yes or No. You can use this option to restrict the report to animals who have had a consultation AND Dental work AND Worming.

    The options (under 'What') are:

    Yes The group has appeared for that animal
    No The animal did not have any work in that group
    Ignore Ignore the settings and include the animal

    The field 'Call it' is what to call the column.

    List animals, include

    This will list the records as per:
    (Split here but will normally be one line per animal).

    The columns have been labelled with the text you entered on the setup screen. As in this example we selected 'ignore' the system listed all records. Had we set say 'Flea' to Yes then only records where 'Flea' work was done will have been included.

    Once you are happy with the options save the query and then re-run to file. This can be loaded into a spreadsheet either to look for trends or to allow you to edit the columns suitable for a mailshot.

    When run and you selected 'File' to save the results you can access it via:

  • Menu -> Reports -> Windows Export Files -> Scan
  • You want to look for 'save.csv' - as the list is in date/time order the file should be at the top of the list. Select it and use spreadsheets options to save it somewhere else.
