Using the Global Scan option in Recalls
The option Global Scan on the recall sub-menu can be used to :
- Create a new recall based on clinical information
- Remove a recall from the system
- Update existing recall information
From main menu select -
- <P>rint Recalls; <G>lobal Update
- Or if using new style menus
<A>ccount and Recalls; <R>ecall Utilities; <G>lobal Update)
Note: If you do not get the option <G>lobal Update, then you will need to change your access permissions. To do this use:
- <U>tilities; <P>assword Maintenance;
- Or if using new style menus
<S>ystem Management; <U>sers/Macros/Messages; <P>assword Maintenance;- <A>dd/Edit; select the user name; <A>ccess; and amend option 111: Global Recall Update to Yes.
Change specific INTERVAL:
This scans all the clients with a matching species, for the specified recall type and alters the recorded interval.For example, if you want to change the dental recalls for all canines from 27 weeks to 26 weeks, you would do the following:
- Select option 1 and enter the recall this relates to,
if you are unsure of the recall number enter a List, to display all the recalls on the screen. - Select option 2 and enter then number of weeks, in this example 26
- Select option 3 and enter the species, in this case CANINE

and the screen will show:

- Select the <S>tart option to run the scan
Notes:
- You can run the scan for more than one species at once, assuming
the other criteria are the same. To select more than one species, use a
comma to separate them. e.g. CANINE, FELINE
- Hint:- If you specify EQUINE as a species,
it will search on all clients with type EQ. Likewise if you search for
species FARM, it will scan all clients with type FC. If you leave this
field blank, it will search ALL clients, irrespective of type, or
species.
- If you want to remove a recall completely set the number of weeks to -1.
Scan clinical and update:
This scans the clinical records for each animal looking for either specified analysis codes or clinical text, and will update (or add) the specified recall.
There may be cases where you want to ignore text -
this can be specified in the 'Does NOT Contain' field.
For example, if you want to update or add a recall for program (for
canines only) and set the interval to 52 weeks. The phrase used on the
clinical records contains the text 'program inj', however you also have
the text 'Advise Program Injection' which should not trip the recall.
- Make sure a recall exists on the system for program

- Select option 2, add 'program inj' as the text to look for.
- Select option 2, add 'advise' as the text to ignore.
- Select option 4, specify the recall for program
- Select option 5 and enter the species, in this case CANINE
- Select option 6 and enter then number of weeks, in this example 52

Notes:
- If the text/item you are looking for as been given a specific
analysis code, or falls in a range of analysis codes you can enter
them via option 1. See the example later in the guide for details.
- When entering phrases (via option 2 and 3), you can include multiple
phrases if they are separated via comma's e.g. FELV, BOOSTER, FIV
- The scan include multiple species - see the notes earlier in this
guide for details.
- This option does NOT delete any recalls, rather it adds to them. This
allows you to do multiple runs to pick up all possibilities.
- If you have a specific AP code, such as Moved Away that
resets the recalls you must remember to include this in the 'ignore'
otherwise the recalls will be re-created.
- The search is case-insensitive e.g. ProGram, PROGRAM, program and Program are all treated the same.
Rebuild Vaccination Details
This example will show the above two option in practice and will be to re-build the main dog/cat vaccination database. This may be required for a few reasons:
- When adding a new animal, the system can be configured to
ask '
Date Last Vaccinated' and if the client does not know the default will be today's date. This will leave a rogue date in the recall field. - A problem in early releases of Premvet 5 meant that under rare
circumstances the wrong recall dates would be added to a animal card.
- Different terminology has been used over the years to indicate
vaccinations and not all of them have updated the recall date.
- Following a data conversion you want to re-create the recall information
The procedure to follow is:
- Run the 'Change recall Interval' option, set to:
- Recall: Vaccination
- Interval: -1
This will remove all Vaccination recalls from the system. Remember, the Scan and Update option will only add - not remove - if you have a recall date for a non-existent recall then the Scan program will not change it.
- Recall: Vaccination
- Run the 'Scan and Update' as many times as required to catch all the
recalls on the clinical screen.
For example,
Canine recalls have analysis codes 10 to 15 Feline recalls have analysis codes 20 to 55 Some recalls have been entered via text and contain FIV or FELV or Booster Enter into the Scan and Update option and the screen will resemble:
Scan records and set recall interval if : 1.. Analysis code(s) 10-15, 20-25 2.. or record contains FIV, FELV, BOOSTER 3.. But NOT contains 4.. For Recall Type Vaccination 5.. For Species CANINE, FELINE 6.. Set interval to 52 weeks - Select the <S>tart option to run the scan
- Repeat as required for any other possible phrases/codes that have been
used. Generally speaking, assuming you have Vaccinations and Boosters
under their own analysis codes there is no need to use the text options (2
and 3) at all. These are included mainly for re-building after a data
conversion.
Zero recalls:
This works the same way as the option above but will set the interval to zero. Unlike the 'Change Recall Interval' (with an interval of -1) option above, this routine will leave the recall on the system but set the interval to Zero.
Additional Note(s):
- Animals marked DD in the status field will be ignored
- The update will NOT affect existing recalls on records NOT found
