Exporting Stock Prices
I would like to export all my Stock Items and use Excel to generate a Price list - How can I do it?
If you have never used this procedure before then it is a Two Step process:
- Setup a Report Generator report to Export the details. This only needs done once.
- Run the Report and load into a spreadsheet.
Creating an Export Report
The Report Generator can be used to extract specific fields from the stock cards. The full procedure is listed in the manual, however, the basic steps are:
- Use: Stock -> Reports -> Report Generator
- Create New Report
- Use the Arrow keys to move up/down the left hand box, pressing the
<SpaceBar> will select the item.
Selected Items will be available in the export File.
Press <Return> when you are finished with selecting items. - The next screen allows you to adjust/rename any of the columns if required.
- Do you wish to Sort? - answer No - the sort options in the spreadsheet will be far better.
- Search Selection - similar to selecting what items to include, this screen allows you to restrict what items are exported. You can select all by pressing <Return> and use the spreadsheet to filter.
- Press <Return> through the misc questions.
- Give the report a name e.g. Export to CSV and return on the filename.
Once the report has been created and saved it can be run as often as needed to export the stock items. You can play around and 'fine tune' the export options to reduce the amount of work needed in the spreadsheet over time.
Exporting Details
To run the above report, from the Report Generator menu, select 'Run a report'.
- Start/End at - just press <Return> to include all items.
- Report to be: Select Disk
- Output type: Select CSV
- Delimiter: Select comma
- Filename: Just press <Return>
(Note: If you are running this often you can use the Automation Manager to run the export automatically.)
Loading the Export details
To call this file up directly with Excel, Numbers, OpenOffice etc.:
- Main Menu select Reports -> Windows Export.
- Select Scan
- The export files will be listed newest first, so if you have just run the export it should be top of the list. Select it.
- Select Look, assuming you are on a PC the file will be loaded into your spreadsheet automatically.
