The Waiting Room Summary (W from the Main menu) 'collects' together various information about client movement within the practice. It is a 'real time' option in that it updates ever 2 seconds.
This includes:
You can 'tune' the summary so it shows you just what you want, that is, not all sites use the same options. All the customisation of the summary is done via entries in 'params.txt'. (Note: If you do make a change to params.txt that relates to the summary you will need to log in/out for them to take affect.)
The Waiting room summary does have an 'Auto Exit' option, that is, if someone leaves it on the screen and forgets about it, the screen will return to the menu automatically. The default is half an hour - this can be altered with:
Waiting_Room_Summary_Logoff = xx (where xx is in minutes)
We would recommend if you are using the summary this be reduced to a smaller time period e.g. 2 or 3 minutes as this program is a little resource greedy.
All Waiting room headings use Colour Event 207.
Lets look at each section of the summary.
This section shows the records that have been accessed recently, this is limited to the last 10 clients. I do use the work accessed here, as this is relate to record cards that have been displayed on a terminal somewhere in the building - you may not have physically seen the animal.

Default is to show this section (However most practices suppress it). It is suppressed with:
Show_Last_Seen = No
Normally, if there is a balance outstanding it will be displayed, this can be suppressed with:
Last_Seen_Balance = No
When an record is added to the current waiting room list you have the option to add it to the 'Action' list (enter a # when asked to). This allows Vet's to pass the record back to reception for Bills or handouts, to the Pharmacy to dispence drugs, to the Nurses to make an appointment for obesity clinic etc.

You cannot suppress this section, however if there are no Action events then it will not be displayed.
Again this shows which records are being accessed on a terminal not necessary with the animal present and cannot be suppressed.

Which CLIENT is physically in the Waiting room - records are added to this section by pressing + from the records card, 'H'ere on the diary or manually adding them to the ' Current Waiting Room'.

This section looks at the Forward Waiting Room' List (we generally recommended that you don't use this is you are using the diaries).
The default is NOT to show this section, it can be enabled with:
Show_Forward_Wr = Yes

The Client Balance will be shown by default, it is suppressed with the same setting for the Last_Seen section, that is:
Last_Seen_Balance = No
The diaries you want to include on the summary MUST be marked as 'Read by Waiting Room' on the diary default screen. Only diaries marked as such will be scanned by this section of the summary.

Clients may have made an appointment but failed to turn up, the system will assume that if the appointment was for over 2 hours ago they are not going to show. You can alter this 'No Show' period by setting:
Hide_Diary_No_Show = xx (Where xx is number of Mins)
Many practices set this to 30, meaning if the appointment was over half an hour ago the client will be suppressed.
As space is limited on the summary screen, you also want to limit the display to those clients who are due in shortly. The default is to hide any appointments that are for over 4 hours in the future. This can be altered by setting:
Diary_Show_Window = xx (Where xx is number of Mins)
A common setting for practices is 30 mins. The system will where possible display the list in TIME order not in diary order, however, if you have a diary setup for 'Walk in clients' that is not using timed slots these will always appear at the top of the list.
Multiple diary appointments for the same animal will be ignored, if the animal is being seen or in the waiting room it will also be suppressed from this list. In addition, if the animal has had work done today it will be taken as being seen early and later appointments will not be shown.
