The condensed history screen contains purely text and can be used to store any information you require. It is accessed by entering the figure '2' at the management record prompt.
There are two methods for storing information on the condensed history page. You can either automatically transfer data from the clinical record screen as you enter it, or visit the condensed history screen and explicitly add information using a prompt line.
You accomplish an automatic transfer by using a Metacharacter. By using the automatic pricing metacharacter ']' information can be transferred onto this screen while entering clinical work. For example, you could use the condensed history screen to monitor weight loss/gain. Whenever you enter a transaction relating to weight in the main clinical records, use the ']' symbol in the automatic pricing command. The transaction line is then copied across giving you just weight information on a separate screen - without the need to wade through other transactions.
You may store as many as 200 separate transactions on the condensed history screen. The screen will look similar to the following example:
04.02.91 Allergic to Penicillin
10.03.92 Major Op - Replace left hip - No problems
(2) MELVIN TOM MR : MITZI Condensed History
Add
Adds information to this screen. You will be asked to enter the
date and then the prompt:
Enter desc. number or RETURN for notes ....
Notes can be entered long hand, or by using standard descriptions stored in a user defined file (Z).
At this point you can press RETURN and enter free-hand text onto the record or enter one of your previously set-up 'standard' descriptions by entering its description number.
Note: Standard description files can be configured from an option within automatic pricing. To create, alter or delete standard descriptions please see Chapter 16.
Scrolling
You can scroll the screen by using the U/+p (for up) and
D/-own (for down) options, or move to the beginning (Start) or end
(Last) easily and quickly.
The user-defined screen ('3' from Management or Clinical Prompt line) is completely configurable, and is especially useful if the practice would like to set up a specialist screen e.g. E.C.G., ophthalmology, neurology etc. User-defined file 'X' is used to contain the screen description and the questions/results.
To access the screen, enter '3' at the management record prompt. (Depending on how your system is configured this screen may be replaced with PDSA transactions).
You can add information to this screen free-hand or by entering a standard description number, similar to the method described above. Premvet 5 will also prompt you for a result, depending on the parameters you have configured in the user defined file. The result may be non-numeric.
(2) MELVIN TOM MR : MITZI E.C.G. Results
04.04.91 QRS complex duration (seconds) .05
P - R Interval duration (seconds) .12
Sinus tachycardia (excitement)
Prompt line:
<A>dd, <E>dit, <L>ong, <S>hort, <P>rint, <Q>uit [Q] .
Add
Adds information to this screen. You will be asked to enter the
date and then the prompt:
Enter desc. number or RETURN for notes ....
If return is pressed you will be prompted for a line of notes, these can be in any form. If a number is entered the test or description is read from the corresponding file and used. You are then returned to the prompt line.
Edit
This allows you to edit any entries on the screen. When
selected the date on the screen will be replaced with the record
number. Select the record number you wish to edit, and you will be
prompted for the new information.
Long/Short
This displays old information (Long) or the current
information (Short). This is similar to the long/short option on
clinical records.
Quit
This will return you to the management screen.
With laboratory tests, condensed history and user defined screens, an invisible option 'K'ill is available to enable you to delete ALL records from this screen for the animal you are on. You will be asked to enter a password (SQUID56F) before the records are removed. An option 'LCD archive' on the validation menu can also be used to archive information before a certain date. This option will also re- organise the files to re-use the killed records.
NOTE: These records are completely removed - they are NOT stored anywhere else, and once killed they cannot be recovered.
Note: There are two methods of handling repeat prescriptions within Premvet 5. Screen '4' for the management or clinical prompt line is aimed at farm Records where labels are printed in a batch and used as required.
For Small Animal scripts use screen '0' which is updated via Auto pricing and will check for interactions.
View this screen by entering '4' at the management record prompt. The top part of the screen displays an index of all items currently held on file with the reference number, stock description and herd reference. The lower part of the screen displays a blank label e.g.
(2) MELVIN TOM MR : MITZI Drug prescriptions
1 Aspirin BS123as
3 Penicillin 50mg Daisy
Stock item : No
Dose :
Reason :
Animal : Date :
Withhold (Milk) : (Meat):
<A>dd, <Q>uit or label number......
Type 'A' to add a new prescription. You will be asked for the date which will default to today, then for the stock number. You will be shown the description of the stock item and asked to confirm your choice. Then you must supply the animal or herd number, details of the dosage, and reason for treatment. You are asked for the initial of the authorising veterinary surgeon and whether the prescription is to be repeated without further authorisation.
The milk/meat withhold periods will be taken from the stock record card and filled in automatically.
To access an existing prescription label, the prescription label numbers appear down the left hand side of the screen in a similar manner to that which you see when transaction lines are being edited.
If you enter a number relating to a label on the upper part of the screen the blank label will be filled in with the relevant details and a new prompt line displayed:
<E>dit, <P>rint, <Q>uit.
Edit
This allows you to amend any details of the label.
Print
Prints this label on the printer. You will need to indicate the
number of labels you require and if you require 'label line-up', which
prints a dummy label allowing you to align the printer correctly.
Note: In answering some of the questions (dose and reason) you are allowed to enter up to 55 characters. Your printer may not have the capability to print this number of characters. If this is the case then the line will be truncated at the maximum characters per line.
The layout of the repeat prescription is read from the label program. This enables you to customise the layout to your own requirements, in a similar way to that in which drug labels are set up. To learn how to design labels you should consult Chapter 19. Once you are familiar with the process, you will need to use the following reserved words to design your repeat prescription labels:
&client - Client name
&animal - Animal name
&date - Today's date
&ref - Client number
&sname - Stock name
&ad1 - Address line 1
&ad2 - Address line 2
&ad3 - Address line 3
&ad4 - Address line 4
&ldate - Date stored on file
&lref - Animal ref on file
&milk - Milk withhold period
&meat - Meat withhold period
&dose - Dose
&reason - Reason for drug
If the first character of a label line contains an '*' then on small animal clients, a blank line will be printed instead. This is to enable the milk and meat withhold periods to be included in the standard label. (Note the '*' will not be printed).
The dose field will recognise 'QID, BID, SID, TID, UID' and translate them into text.
Note: Labels generated from here will NOT use any other reserved words or dose abbreviations.
The event screen records when bills, recalls, merged letters, etc. have been sent to clients and is done automatically by the system.
To access this screen enter '5' at the management record prompt. Once selected only the bottom half of the screen will change to display the recent events.
While its main purpose is to record events automatically, you can add manual notes to this screen. There is a limit of 200 events.
The screen holds the following information:
Date - The date the event took place.
Details - A brief description of the actual event.
Event - This is a number indicating the exact event and is explained
below.
File - If the event involved sending a letter then the file name of
the letter will be included here.
The prompt line has the usual options:
Start,Last
Displays the top of the records (start) or the end of the
record (last).
U/+p,D/-own
Scrolls the screen up and down.
Edit
Enables you to edit any of the lines, and you use the line
number shown on the right of the screen.
Add This will add a manual entry to the screen e.g. phone call, hand-out etc.
Event Numbers
The list below shows the possible event numbers along with a brief
description.
Weight Graphs
The option 'W' from the clinical record prompt line will display a bar
graph showing:
Before you use this option you must tell the system which analysis code you are recording weights and Insulin under. Use the following route through the menu options:
We would recommend an analysis code of 229 for weight and 227 for insulin, if you have not already set them up.
When the 'W' option is selected you will be prompted for:
Graph for Weight Glucose Other Quit
Note: When isolating the figure from the clinical line the system will:
The following WILL be isolated correctly:
Weight (6y2w) = 12 kgs
Temp: 37 degC (100.4 degF)
Some text 12 some more text
The first screen displayed shows the last 61 recordings made. This graph does not use a constant time display. The top of the screen will show the total number of recordings available along with the date range.
On the right you will be shown the maximum, minimum and average for ALL the records. The Y axis shows the dates for the displayed records and will be displayed as month.year.
The prompt line has the following options:
To determine the optimum weight once the breed data is found the system will look for a line starting 'weight' or 'wgt'. If this is not present the full data sheet will be displayed and you will be asked to enter the weight.
Weights can be specified as a single number, two numbers indicating lower/upper or a single number prefixed with '<' or '>' for less than/greater than. If the line contains 'lb' then the system will assume that the weights are in pounds and convert them to kilos. If the weights are different for male/female they can be specified on the same line, however the male weight must be specified first.
The system will use three colour events when displaying the graphs.
| 230 | The default graph colour |
|---|---|
| 231 | If the value is LOWER than the lower normal value |
| 232 | If the value is HIGHER than the upper normal value |
While the above is true for 'bar' graphs the system will show an overview marked with 'x''s - these do not use the above events, rather they will use:
| Heading Colour | 202 | Default colour |
| Characters | ? | If under lower limit |
| Double Lines | 201 | If over upper limit |
