Stock Control: & Automatic Pricing

The basic procedure for adding stock items to a client's clinical record using Automatic Pricing was discussed in Chapter 6. However, there are some differences where sub-units of a stock item are concerned. We will use the following stock item as an example:

Item   : Benylin & Codeine
P. Ref : BENCO

     Description PackSell Cost RRP MU % Selling DI %
1 - Per bottle        300     2.980   4.700     57.7   4.700    .0
2 - !mls                1      .010    .050    430.4    .050    .0
3 - !100 mls          100      .993   1.560     57.0   1.560    .0
4 - 'A bottle         300     2.980   4.700     57.7   4.700    .0
5 -
When you want to enter a stock item onto a client's clinical record via AP, you enter the practice ref. for the item, in this case 'BENCO'. To specify that the AP code you are entering refers to a sub-unit of the stock item, you append a slash (/) followed by the sub-unit required e.g.
benco/3

In this case, the following text is added to the client's clinical record:

100 mls Benylin & Codeine

Keeping clinical records 'tidy'

You will notice that in the table above, two of the sub-unit descriptions (SUDs) are preceded by an exclamation mark (!mls, !100 mls) and one by an apostrophe ('A bottle). This is so that Premvet 5 knows how to display these SUDs on a client's clinical record so that they make sense. For example, the first SUD in the table (Per bottle) is not preceded by any character, so Premvet 5 appends it to a client's clinical record in brackets, to the left of the stock item name:
benco -> Benylin & Codeine (Per bottle)
If the first character of the SUD starts with an exclamation mark (!) then the SUD will be inserted in front of the stock item name e.g.
benco/3 -> 100 mls Benylin & Codeine
Note: If you are using the ! as an SUD then it MUST NOT be followed by a space (or be the last character on the line) as this would be treated as the 'don't destock' meta-character. e.g.

!mls Prefix the description with 'mls'
! mls Prefix with 'mls' but don't destock
Bottle ! Use 'Bottle' as the suffix and don't destock
! Don't destock

If the first character of the SUD is an apostrophe (') then the SUD will be ignored e.g.

benco/4 -> Benylin & Codeine
The system will first of all handle the SUD before any translation is made for multipliers or plurals, so with practice you can make a client's record card look more presentable. For example, if we edit the screen above so that the SUDs are as follows:
/1 - Per bottle
/2 - !ml[s]
/3 - ![x ]100mls
/4 - 'A bottle
/5 - # ml[s]
We can achieve the following results on the client's clinical record card:
AP Line         Outcome

benco Benylin & Codeine (Per bottle)
benco/1 Benylin & Codeine (Per bottle)

benco/2 12      12 mls Benylin & Codeine
