Data Sheets for Stock Items

The system supports two types of data shhets:

Local Data Sheets

These pop-up a small box (9 lines of 34 characters) for you own comments and data sheets. You can also use this for 'Pharmacy Advice'.

Pharmacy Advice: There may be times you want to print warnings/notes on the receipt as well as drug labels. This can be done using the 'Today' Bills/Receipts along with the Local stock data sheet. On the stock card, use the 'Local Data Sheet' to add the text you want included - do not worry about the format as the line WILL be re-formatted based on the width of the stationary you are using.

On the 'Warnings' section of the stock card switch 'Append Letter' to Yes and for the name of the letter enter 'data'.

Now whenever that item is dispensed the data sheet text will be added to the today bill/receipt (just before today.bot if used).

Note: The text is printed ONCE, if you re-print the bill/receipt it will not be included again (for multiple copies use F9)

If the item was dispensed on a different day to the bill being printed it will NOT appear.

HTML Data Sheets

Both the BSAVA formulary and NOAH are in HTML (Hyper Text Markup Language) format. If you have ever 'surfed the web' you will recognise the style and addresses used.

The first step is to tell the system what data sources are available and how to find them. This is done via:

You have the option to add up to 5 different HTML sources, select either the option to change or the next free slot. You will be asked:
Ref
This is just some way of identifying what this entry points to.

Path
Where about on YOUR hard disk the html files are.
e.g. If you have installed the formulary as per the guide, this will be /u/bsava

Start
This should be set to any start point of the html documents, e.g.:
BSAVA will be BSAVAF.HTM
NOAH will be index.htm

Note: If the files you access are in upper case you should specify the start file in upper case here.

Index
With NOAH and the formulary there is one specific html page that contains an index to all the drugs available. This is the important file as far as this feature is concerned. You should identify (by browsing the pages) and enter the name here.

As of the September 1997 release of NOAH and the Formulary you can use:

Translate
If you are using an local web server you can use this option to translate the pathname to a full url e.g.

If the path to BSAVA is /u/bsava and you have this running on an web server called hannah you should create a 'sym-link' to your document root ( e.g. ln -s /u/bsava /u/www) and set this option to http://hannah/bsava (assuming the files were in a sub-directory called bsava from the document root).

Once you have entered the details you system will ask you if you would like to re-build the index file. This is a merged version of the index files entered above making it easy to search.

The re-build will only be needed if you change any of the locations or add a new set of data files.

Attaching a data sheet

From the stock card, select the 'D'ata option. You will have three choices:
Local
Create your own data sheet, limited in size.

View
View (if set up) either the local data sheet or the HTML data sheet.

HTML
Attach an URL (Universal Record Locator) to the stock card. This url can be stored locally on your hard disk, as per NOAH and the formulary or a pointer to an http server on another machine. The remote machine does NOT need to be local, it can be anywhere in the world.

For the files stored locally you can, assuming the system knows where to find them (see earlier section) search for specific words. If you leave the HTML Data (Url) blank, the system will ask you to enter the drug to find (it will default to the 1st word from the stock card you are on and present you with a list off all possible matches allowing you to select as required.

Note: The text you enter need not be the start of the drug name e.g. cilli, will find Penicillin, Dupocillin etc.

Both the local and HTML data sheets will be cross updated. You should be aware the will only be cross updated if the Practice Ref: if the SAME at both sites for the stock item you are on. The data sheets will also be included when you send the prices to the remote sites.

Viewing the data sheet

Most of the help prompts from here on should, if a data sheet is present, allow you to jump directly to it by pressing 'D'.
