The appointments diary system can cater for fifty diaries, each with as many as 994 pages, and 288 slots on each page. These can be for individual members of your practice, individual surgeries, consulting rooms, operating theatres, etc. Each slot on the diary page contains information on the client plus an optional comment. You can have one or two lines allocated to each appointment slot - perhaps to fit in an additional client or to add extra comments.
Appointments can quickly be made (or cancelled), and you can switch between days and different diaries very quickly. There is no restriction on what mixture of intervals or times of day you use to set out the appointments on the page. The diary is based on the 24-hour clock, but there is no actual obligation to label slots on the page with a particular time and the diary can thus function as a waiting room list for open surgeries.
Days which have passed can have their file space re-used or alternatively new days are automatically added to the end of the diary. The diary pages for any days removed can optionally be printed out before being discarded.
There is a block booking facility for blocking off particular appointment slots or groups of slots on particular days of each week, each month or each year.
All used diary slots are automatically crossed off on the index which gives an overview of the used and available slots in the diary, in blocks of one week at a time.
The diary can integrate with the client's management record, as well as with recalls with an interval based on a period in days.
Multi-user use of diary
The system is fully multi-user - diaries and diary pages are free for
inspection by any number of users at any time. However, once a user
chooses to update the diary other users will be prevented from updating
until the task is complete. This 'lock-out' prevents unintentional double booking.
