There is a conversion utility:
General Apps -> Validation -> Euro Conversion
System -> Setup -> Validation -> Euro Conversion
This will convert the following financial information:
- Stock Items
- Automatic Pricing Procedures
- Dispencing fees, Discount/Surcharge absolute amounts, repeat
prescription and label dispensing fees.
- All Client/Animal records will have the financial data converted.
- Practice Financial data (Monthly/Yearly Summary) and User Breakdown
This includes ALL years held on the system.
- Invoice and Docket List
- PDSA Pet-Aid work (Screen 3)
- Purchase Ledger Data.
The client History screen (screen 5) and the Stock History entries have
pounds in the text, these are NOT converted and will remain in
the OLD base currency.
The option is password protected and the password is:
ToEuro
Notes:
- With Stock and AP records, these options
store their prices to three decimal places - the euro value will
also be to three decimal places.
- There is no need to reset the current financial year as all financial
data on the system will be converted to the Euro.
- You can convert while there is work in the vatbook as long as there
are no corrections outwith the current period. To be on the safe side
it is recommended you perform a Vatbook period reset before the conversion
utility is run.
- You may see one or two 'rounding errors' after the conversion, these
should only amount to the odd cent here and there. The system will
automatically correct any rounding errors on client records where there is
a difference between -.05 and 0.05 cents.
- If you receive Stock price update disks from your wholesalers make
sure they send the disks with prices in Euro's, there is NO conversion of
price update disks. Once you have converted to the Euro the system
expects all prices thereafter are in the Euro.
- Any export files generated before the conversion e.g. csv/log files
will not
be converted neither will any definition files or text documents that
contain any 'old' currency values.
Make a FULL backup(s) of the system BEFORE running the conversion program,
this backup should be kept for at least 5-10 years as this will hold
your old figures in pounds in case of Account/VAT queries/inspection.
You can make
a
separate copy of the vet system on the hard disk to allow you check
any old figures. We recommend you alter the user's
access permissions
on this copy to disable all editing and adding of work. It is also
advisable to setup a different
colour scheme on this version so people
can easily see which version they are in.
The &euro reserved word(s) AFTER conversion can be used to convert
back to
the old base currency. Change the 'Euro value' to reflect the new
conversion value e.g. 0.787564 for the Irish Punt. Now when &euro
is used it will be in punts. You should also change 'Euro_Unit' in
params.txt for the name of the currency e.g.
Euro_Unit=Punt or Euro_Unit=Sterling as
this will be the text printed. Remember to change any definition
files that have the text hard coded e.g. bill.bot, invoice.bot etc.
Steps to follow
- Prior to 'switch over day', make a
separate copy of the live database
and run a dummy conversion on this data set. Check all financial data
to ensure it has converted correctly.
- Make sure your hardware supports displaying/printing the Euro symbol.
If you are using Windows PC's with terminal emulators ensure they also
support the Euro symbol.
- Run a set off copy Invoices/Statements to the print spooler to allow
you to handle any invoice queries on the old base currency after the
conversion.
- If you use the cross updating module ensure any 'work in transit' has
been integrated and that no work is added until all sites have
converted.
- Printout to a printer or the spooler any data you require on the
old currency. e.g. Price Lists
- Perform a period end on the Vatbook
- Make two fully verified backup's of the data, write protect the tapes.
- Make a separate copy of the database (if required)
- Check the Inverse Euro conversion value is correct for your region,
for Ireland this should be 1.269738 (1/0.787564) via
Parameters -> Fields & Defaults -> Vat -> 5
- Run the option:
General Apps -> Validation -> Euro Conversion
System -> Setup -> Validation -> Euro Conversion
- The password is ToEuro
- Run a validation to make sure there are no major rounding errors
- The system will have converted any clinical lines that are attached to
animal record cards, however, any deleted lines will still be on the old base
currency and there is the possibility these MAY be attached back in the future. To avoid any possibility of this you should use the 'Check Free List' option
on the validation menu and then Initalise it. This will wipe the list of
free clinical records.
- Check financial data to ensure it is correct.
- Change the Euro Conversion value to convert from the Euro to the
old currency, for Ireland this is 0.787564 (
Parameters -> Fields & Defaults -> Vat -> 5)
- Set
Euro_Unit in
params.txt for your currency e.g. for Ireland
this would be Euro_Unit = Punt
- Set the Screen Currency Symbol to the euro
for all screen types
you are using via
Parameters -> Hardware -> Terminal -> xx
-> Screen -> Screen Currency Symbol.
This should be set to 164 decimal if your terminal supports the Euro Symbol.
- Set the Printer Currency Symbol to the euro for all printers types
you are using via
Parameters -> Codes (Printer) -> 'Your Printer'
-> Currency Symbol. This should be set to 164 decimal or whatever code your printer uses.
Configuring the O.S.
The euro symbol is supported in the character set 'ISO8859-15', this
should be enabled with the scoadmin international manager. One
drawback is that the 8859-15 character set does do handle line graphics
correctly. You will need to change the Line Draw Characters within
the Premvet Terminal Database.
Use Parameters -> Hardware -> Terminal, select
the terminal type to change e.g. 3, and use the following settings:

By default Premvet does not use any character mapping and switches it
off when it starts. To alter this behaviour you should add:
Mapchan=No
to /etc/default/vet3000.
